The role · responsibilities

What you are accountable for

Clear duties, a written definition of done, and a supervisor who explains every quality decision. Nothing here depends on reading your manager's mind.

Core duties

Six responsibilities, no mystery

If a duty is not listed here, you should not be expected to do it without it being added in writing first.

Complete assigned batches

Work through the records you are given, in the system you are trained on, at the pace the batch requires for accuracy first.

Verify against the source

Compare entries to the source document. When they do not match, flag it — never invent or 'smooth over' a value.

Self-check before submitting

Run the batch through the written checklist. Most escalations happen because a step was skipped, not because the work was hard.

File the weekly report

Record what you completed, what you flagged, and anything blocked. Short and factual beats long and vague.

Protect the records

Handle personal or sensitive information only in the approved tools, on the approved device, and never in personal accounts.

Escalate early

If a request looks wrong, unsafe or outside your instructions, stop and ask. Nobody is penalised for checking.

Quality

How good work is measured

Accuracy targets, review criteria and the consequence of a mistake — all written down before your first live batch.

  • Every batch has a written definition of done — accuracy target, format and deadline.
  • Quality is reviewed against that definition, not against how fast you typed.
  • Errors found in review come back to you with a specific explanation of the rule you missed.
  • Repeat mistakes trigger a short re-training step, not a silent warning.
  • If instructions are missing or contradictory, you ask before choosing.

Escalation

When you are not sure, you stop

Four steps, in order. Escalating is the expected behaviour, not an admission of failure.

1

Try the checklist

Most day-to-day questions are already answered in the procedure for your batch.

2

Ask your supervisor

Message your named supervisor with the batch reference and what you found.

3

Stop if it looks wrong

Anything involving money, credentials, personal data outside scope or a suspicious request gets paused immediately.

4

Written follow-up

The outcome is written down so the same question does not come back as folklore.

Handling information safely

Operators work with records that may contain personal information. Access is limited to the tools and device approved for your batch, and screenshots, personal cloud storage and forwarding to private email are not permitted.
